Entry Guidelines

Entry Groups (All contests for the 2017/2018 season are “Open Themed”)

  1. All Entrants
  2. College Students
  3. Youth
  4. Professional

Open Theme, is designated only to the First Round of the competition and is defined as conveyed in the contest rules with the following restrictions. (“Restrictions”: nudity, pornography, vulgarity, clichés, etc. are NOT permitted.)

Eligibility

The All Entrants category is for visual artists and photo enthusiasts of any skill level over 18 years of age.  The “College Students” category is only for students 18-24 years old enrolled at an accredited college or university with an interest in, but not limited to the Fine Arts, Liberal Arts, Journalism, Photography, or the Visual and Graphic Arts. The “College Students-Only” category is specifically for students looking to enhance their prospects of building strong careers in the Creative and Visual Arts industries. The “Youth” category is for visual artists and photo enthusiasts of any skill level who must be at least 12 years of age but no older than 17 years of age. The “Professional” category is only for professionally skilled photographers and visual artists over 18 years of age.  

The prizes for all categories must be redeemed within specified time periods or prizes will be forfeited. Contestants in the “College Students” category who become finalists must be able to travel and compete in 3rd round of the competition which occurs in the designated host country. The Caribbean Photo Contest is primarily a skill-based contest and chance plays no part in the determination of winners. (Special qualifications apply, see contest rules.)

Submit Your Work

Entry Periods

All Entrants The “All Entrants” category begins Sept 18, 2017 at (12:01:00 AM) US Eastern Standard Time (EST) and ends Dec 15, 2017 at 11:59:00 pm US Eastern Daylight Time (EDT) (the “contest”).

College Students The “College Students” category begins September 18, 2017 at (12:01:00 AM) US Eastern Standard Time (EST) and ends December 8, 2017 at 11:59:00 pm US Eastern Daylight Time (EDT) (the “contest”).

Youth  “Youth” category begins March 19, 2018 at (12:01 AM) US Eastern Standard Time (EST) and ends June 1, 2018 at 11:59 pm US Eastern Da1light Time (EDT) (the “contest”).

Professional The “Professional” category begins January 16, 2018 at (12:01 AM) US Eastern Standard Time (EST) and ends March 24, 2018 at 11:59 pm US Eastern Daylight Time (EDT) (the “contest”).

Submission entries must be received before the entry period ends to participate in contest.

*Note The entry submission page is expected to receive many visitors immediately before the entry deadline. If the website is experiencing a lot of traffic, issues may arise such as slow processing times or the inability to submit entries. To avoid these potential problems, you are encouraged to submit your entries about 14 days before the entry deadlines.

Submission Guidelines

Entry is limited to original works that have not previously been displayed or exhibited and to which the entrant holds all applicable rights.

Still photography Image data files created with any digital devices including smartphones, digital still cameras (including medium and large-format cameras). We will not be accepting any hard copy submission entries.  Scans of photographs taken by film cameras are eligible. File size: Up to 20 MB per file File format: JPEG/150 dpi recommended The standard color space for the judging process is sRGB.

Note: Finalists & Prize Winners may be requested to provide higher resolution images for publication or display purposes related to the contest.

How to Enter

After carefully reading all applicable information, click the “Enter Contest” icon to complete the entry form, pay the entry fee, upload your work and submit.

Entries for all categories except for the professional category are limited to a total of 5 images; however, there is no limit on the number of entries a contestant can make. A fee is required for each entry.

Judging Criteria

All Entrants

Contest consists of two (2) rounds of evaluation. In Round One, the best image selected by each candidate will be posted where the public can cast their vote for the best images.

In the 2nd round, a panel of Caribbean Photo Contest experts in photography (the “Judges”) will each review all eligible entries based on the following criteria (“Judging Criteria”): (1) Creativity 50%; (2) Photographic quality 50% and select a group of entries from contestants that proceed to the next round/s.  Entries will be judged based on creativity, photographic quality and effectiveness in expressing the contest theme. Winners will be published on the “Caribbean Photo Contest” Web site. Limit one prize per winner. The results will render the three (3) finalist/s (i.e. Prize Winners).

*Prize winners will be notified by email and announced in our website and e-newsletter no later than 8 weeks after the end date of the contest.

College Students

Contest consists of three (3) rounds of evaluation.

In 1st round, the best image selected by each candidate will be posted where the public can cast their vote online for the best images. Online voting is open to the public which occurs throughout the duration of the contest (Beginning September 18, 2017 – ending December 8, 2017).  Online voting criteria are based solely on two criteria: 1) the contestant’s ability to garner votes from the public. 2) The quality of images submitted.  The results will render the top one hundred (100) finalist/s who qualify to advance to the 2nd round.

In the 2nd round, a panel of Caribbean Photo Contest experts in photography (the “Judges”) will each review all eligible entries based on the following criteria (“Judging Criteria”): (1) Creativity 50%; (2) Photographic quality 50% and select a group of entries from contestants that proceed to the 3rd and final round.  Entries will be judged based on creativity, photographic quality and effectiveness in expressing the contest theme. Winners will be published on the “Caribbean Photo Contest” Web site. Limit one prize per winner. The results will render the fifty (50) finalist/s who qualify to advance to the 3rd and final round.

The 2nd and 3rd round judging is based on technical quality, artistic expression, creativity and difficulty. In the event of a tie, those entries will be re-submitted to the Judges for re-judging between the tied entries alone. The CPC reserves the exclusive right regarding judging to determine winners. Decisions of the Judges are final and binding. 

    • Round 1 Online Voting occurs throughout the duration of the contest (Beginning September 18, 2017 – ending on December 8, 2017). The top 100 contestants selected to advance to the second round of competition will receive an email correspondence in addition to the list posted online at www.caribbeanphotocontest.com website.
    • Round 2 Judging occurs from (January 15, 2018 to February 2, 2018).  Fifty (50) finalists will be chosen from the top one hundred (100) contestants to advance into the 3rd and final round of the competition and qualify to compete for the grand prize in the Caribbean on the island of Saint Lucia (Additional prizes awarded are listed below). Finalists chosen to compete in the third and final round will be divided into five (5) groups (Groups A-E) who will be invited to travel to designated host country during specified dates listed below.
    • Announcement Period (February 5, 2018 to February 23, 2018).
    • Round 3 of the competition occurs from June 8, 2018 – August 7, 2018 in the host country and is applicable only to contestants designated as finalists.

Note: Contestants designated as “Finalists” will be divided into five groups with corresponding 3rd round competition dates.

  • Group A- May 20-26, 2018
  • Group B- June 3-9, 2018
  • Group C- June 17-23, 2018
  • Group D- July 15-21, 2018
  • Group E- July 29-August 4, 2018

* Finalists will be notified by email, announced in our e-newsletter and posted on the CPC website no later than 8 weeks after the end date of the contest.

Youth

Contest consists of two (2) rounds of evaluation. In Round One, the best image selected by each candidate will be posted where the public can cast their vote for the best images.

The competition helps young photographers grow and flourish into the next stages of their careers. Judges are looking for good composition, creativity and clear photographs. Judging will be based on a single image and not a series of images.

Winners will be published on the “Caribbean Photo Contest” Web site. Limit one prize per winner.

Professional

Contest consists of two (2) rounds of evaluation.

In the 1st round, a panel of Caribbean Photo Contest experts in photography (the “Judges”) will each review all eligible entries based on the following criteria (“Judging Criteria”): (1) Creativity 50%; (2) Photographic quality 50% and select a group of entries from contestants that proceed to the next round/s.  Entries will be judged based on creativity, photographic quality and effectiveness in expressing the contest theme.

In Round Two (2), the best image selected by (the “Judges”) will be posted where the public can cast their vote for the best images. All works that have passed the second round of judging will be subject to voting.

After the first round of judging, all entries advancing to the 2nd round will be posted onto this website (scheduled for April 2018). Awards will be decided after the second round is completed (May 2018). Contest results are scheduled to be announced on this website by May 2018.

Everyone who has entered the contest also has a right to vote for the “Professional of the Year” award.  “Professional of the Year” voting is scheduled to begin May 2018. Details will be announced on this website.

Announcement/Notification to Winners

Announcement periods vary. Be sure to see contest rules for each category.  

Winners are requested to review the documents sent to them separately via E-mail from the organizer and, in the event they accept the terms and conditions, to fill out the required items, sign the form (or, if replying by E-mail accept the terms and conditions electronically as specified in the E-mail message) and deliver them to the organizer either by mail or through electronic means on or before the date stated in the documents. Winners may be contacted by telephone should the organizer deem it necessary to confirm any of the information provided.

Please note that failure to respond within 14 days of the date on which the organizer sends the notification E-mail, whether due to server malfunction or any other cause, will result in disqualification. Entrants should therefore notify the organizer of any changes to their E-mail addresses using the entry page on this website. The organizer does not accept liability for any disadvantages that may arise as the result of inability to receive E-mail.

Awards & Prizes

All Entrants

Two Prizes will be awarded for the “All Entrants” category.

First Prize: One First Prize will be awarded. The First Prize consists of:

(1) A 5-day / 4-night stay at Bay Gardens Beach Resort in Rodney Bay, Saint Lucia W.I. for the winner and one (1) guest in 2017;

(2) The winning image will be featured on the Caribbean Photo contest website.

Second Prize: One Second Prize will be awarded. The Second Prize consists of:

(1) A 3-day / 2-night stay at Bay Gardens Hotel in Rodney Bay, Saint Lucia W.I. for the winner and one (1) guest in 2017;

(2) The winning image will be featured on the Caribbean Photo contest website.

*Participants Award for Most Popular Entry

Third Prize: One Third Prize will be awarded. The Third Prize consists of:

  1. A $500 prepaid B&H PhotoVideo gift-card
  2. The winning image will be featured on the Caribbean Photo contest website.

College Students

Fifty (50) finalists become eligible to receive a new Digital SLR Camera package, win a 7 day/ 6-night photo expedition and workshop in the Caribbean on the Island of Saint Lucia, that includes lodging accommodations and 3 meals daily for 5 nights, including an awards ceremony and luncheon. After two (2) competition rounds and successful eligibility verification, the fifty (50) finalists are invited to compete in the third and final round of the contest for a total of $10,200 in scholarship & award prizes. In the third round of the contest, the Fifty (50) finalists will travel and participate in a photo expedition and workshop that includes competing in a photographic and essay contest on-location in the island of Saint Lucia. While in Saint Lucia, finalists compete for the Grand Prize, a $5,000 scholarship award. The third and final round of the competition will be in conjunction with the photo expedition and workshops. The theme in the third and final round will be announced only to the finalists. During the third-round finalists, will be required to submit a one thousand-word essay along with the digital images captured in Saint Lucia for the Grand Prize judging.

Youth

The “Youth” division was created because a passion for photography often starts at a young age. The YOUTH competition, is for all photographers & enthusiasts age 13-17 and recognizes this next generation of talented young photographers.

Professional

The “Professional” division of the Caribbean Photo Contest will attract a large variety of inspiring, engaging and emotionally compelling visual imagery that showcases the Caribbean.

Grand Prize:

  • Seven (7) day Six (6) night trip for Two (2) to Bay Gardens Resort and Spa, in Saint Lucia, W.I.
  • $1000 B&H Gift Card
  • Inclusion in Panel of Judges for upcoming contests.
  • College Student Workshop Mentor

Award Ceremony & Best of Show Exhibition

Each year, the CPC will invite an established curator to select 50 images from first, second, and third place winners and finalists to be exhibited in an exclusive show in the Caribbean Photo Contests host country. The Best of Show will then travel to various countries to be included in photo festivals, galleries, and other photography & visual arts related events. The Best of Show Exhibition is for qualified prize winners who have placed 1st, 2nd, or 3rd and for finalists regardless of whether the photographer has qualified as a nominee agreeing to have their work shown in this exclusive traveling exhibition for exposure and will not be receiving pecuniary compensation.

  • Entries and the persons depicted therein are restricted to works for which the entrant holds the copyright or for the use of which the entrant has received the prior permission of the right holder.
  • The entrant is responsible for taking all steps necessary to protect the rights of persons depicted, including but not limited to obtaining their permission.
  • Entrants are responsible for the resolution of any legal issues arising from their works and agree to pay any costs thereby incurred.
  • The organizer reserves the right to disallow entries that depict brand logos or other intellectual property, whether on signs or posters or in other forms, or that in its judgment are harmful to the public order, violate standards of decency or are contrary to the goals of the contest.
  • Entrants must hold all applicable rights to the final image, including any retouching or other image processing.
  • Entrants will not be notified of receipt of their entries. Please note that the organizer will not respond to inquiries concerning their receipt.
  • Entries are only accepted through the Internet.
  • Entrants shall bear all costs incurred by entering the contest.
  • Entering the contest constitutes agreement to the terms and conditions stated in these Entry Guidelines.
  • The organizer reserves the right of final judgment concerning items not expressly stated in these Entry Guidelines. Entrants who do not consent to the organizer’s decisions may withdraw from the contest. All costs associated with withdrawal from the contest are to be borne by the entrant.
  • Once submitted, entries will not be returned to entrants under any circumstances, even if they are later withdrawn.
  • Please note that the organizer may elect to suspend or postpone receipt of any or all entries if in its judgment, the contest cannot be run smoothly, securely or without affecting the fairness of the judging due to circumstances beyond its control, including but not limited to network failure, computer viruses or unauthorized access to its servers.
  • Please note that when a winning work is used for exhibitions and the like stated below, due to circumstances concerning printing or otherwise, the tone or expressed meaning may not be strictly reproduced according to the winner’s intent.
  • Please note that no response shall be given to any inquiries or complaints regarding the judges’ decisions.

Responsibility

  • Although entries are handled with the greatest possible care, the organizer does not accept responsibility for accidents, damage or loss during upload.
  • The organizer does not accept responsibility for damages arising from or related to circumstances beyond its control, including but not limited to network failure, computer viruses or unauthorized access to its servers.
  • Save where they are due to the organizer’s malice or gross negligence, the organizer does not accept liability for damages or other harm suffered by entrants because of their participation in the contest.
  • Entrants are required to obtain the prior permission and consent of the persons who are portrayed in their works or who hold the copyright or other intellectual property rights to the works or the items portrayed therein.
  • Entrants agree to fully indemnify the organizer and accept all responsibility for any third-party complaints or objections concerning copyright or other intellectual property rights infringement or damages arising from the works submitted.
  • The foregoing limitations also apply to the responsibilities borne by the organizer and, the judges and third parties participating in the contest in cooperation with the organizer.

Entrants’ Rights

Although entrants retain the copyright and other equivalent rights to their entries, the organizer retains the rights listed below in the “Organizer’s Rights” with respect to the entries.

Organizer’s Rights

  • The organizer reserves the right to publish entries to its public social networking service accounts throughout the submission period to publicize the contest. Such publication does not guarantee an award of any kind.
  • The organizer reserves the right to publish all entries onto websites and social networking service accounts related to the contest after the first round of judging. Some entries may be cropped for publication.
  • With the objective of publicizing the contest and enriching the general image-making culture, the organizer reserves in perpetuity the non-exclusive right to publish, reproduce, make public, publicly transmit, display, print, distribute and screen winning entries with the credit titles on websites and public social networking service accounts, in photo exhibitions, camera-related events, exhibitions and in the facilities managed or organized by the subsidiaries or affiliates of Caribbean Photo Contest and local agents authorized by the organizer (collectively the “organizer, etc.” including the organizer) without further compensation to or the additional prior consent of the winners.
  • The organizer, etc. will display the names of the winners and the titles of the winning entries on contest-related websites and public social networking service accounts, at exhibitions, and in other locations where the works are shown. Entrants are requested to familiarize themselves with the “Personal Information” below.
  • With the objective of accomplishing the goals outlined in the foregoing clause, the organizer, etc. may: (a) display the winning entries in whole or in part on websites or public social networking service accounts under its administration, with the addition of graphical effects, sound effects or music; and
    (b) employ the winning entries in whole or in part in the creation of posters, tickets and pamphlets promoting photo exhibitions and other events.
    The winners agree not to exercise moral rights to works so used.
  • For the objective other than those stated above, upon agreement with the creator or winner, the organizer reserves in perpetuity the non-exclusive right to publish, reproduce, make public, publicly transmit, display, print, distribute and screen entries or winning entries with labels indicating them as entries or winning entries of the contest and the credit titles, without further compensation.
  • Entries that in the judgment of the organizer do not conform to these Entry Guidelines will be disqualified. Entrants will not be notified in this event.
  • If a winner is found to be disqualified after a prize is awarded, the award may be revoked and the entrant requested to return the prize.
  • These Entry Guidelines shall be construed in accordance with the laws of Japan.
  • Any disputes between entrants and the organizer are subject to and shall be executed under New Jersey State Law having exclusive jurisdiction.

Personal Information

When submitting works to the contest, the entrant must include an entry form that provides accurate personal information to the organizer. The decision whether to provide this information lies with the entrant. Entries that do not contain the required information will not be accepted.

Use of Personal Information

Personal information provided by entrants may be used as required to:

  • notify winners of the results;
  • provide entrants with information about the contest;
  • correspond with entrants about their submissions;
  • announce the winning entries;
  • generate general contest statistics;
  • send out questionnaires about the contest; and
  • deliver prizes.

Moreover, questionnaire contents that are voluntary filled in will be used as a reference when the finished products are released by our company.

Data Storage

Note that regardless of the entrant’s country of residence, data provided in a submission (image data of works and personal information) may be stored in Japan or another country at the discretion of the organizer.

On websites, in publications or otherwise pertaining to the contest, the names of the winners will appear with the winning entries, and entrants’ names may also be used to establish their identity if they request updates to their addresses or other personal information. Any notifications and inquires for these purposes will come from the Caribbean Photo Contest.

Disclosure of Personal Information to Third Parties

The organizer may disclose to judges, and to third parties overseeing the contest, such personal information as may be required for contest management.
In providing personal information for this purpose, the organizer assumes responsibility for the appropriate oversight of personal information through non-disclosure agreements and other measures.

Management of Personal Information

The organizer endeavors to ensure the security of all personal information transmitted via the Internet, using the Secure Sockets Layer (SSL) protocol or equivalent methods to prevent unauthorized access by third parties.

Erasure of Personal Information

Except for personal information pertaining to winners and entrants whose submissions have been used for purposes other than promoting the contest (“winners and some others”), the organizer shall take the steps needed to dispose of or erase all personal information submitted (entry forms, submitted files, and all other digitized personal information pertaining to the contest) on December 31 of each year of the respective category contest (the “date of erasure”). Please note that with the exceptions of winners and some others, no corrections or references can be made to entrants’ personal information on and after the date of erasure.

About Caribbean Photo Contest
Caribbean Photo Contest, (“CPC”) is a leading online digital media community that provides photo enthusiasts, artists, and visual artists alike the opportunity to showcase their talents and abilities to the world through various platforms including the internet, social media, digital and print publications, galleries, and travelling exhibitions.

What information we collect and how we use it
We collect personally identifiable information that you choose to provide to us when you register for a trade show, subscribe to our magazines (either directly or through another company such as a subscription agency), sign up for email newsletters, enter a contest, or participate in surveys. During the registration process we may request certain contact information and demographic information about you such as name, mailing address, email address, company name, size of company and title. We do not sell or share this information with third parties, except as described below. We also may receive information about you from other sources and add it to the information you have provided to us. If you choose to register for a trade show or subscribe to a magazine on this website, you may also be asked to provide your credit card information to fulfill your registration or subscription request.
